END OF SUMMER TERM – Wishing everyone a very enjoyable summer break! We are now closed for the summer and reopen on Thursday 3rd September 2026.

The invoices for September have all been sent out and sessions confirmed. Payment is due by 20th July 2026.
After this date a half terms notice is required for any changes or cancellations, so all sessions invoiced for September must be paid and changes can only be actioned from October half term.  Payment not received may result in all places being withdrawn.

General Information

Welcome

Bernards Heath Junior School – OFSTED setting reference number: 2541439

Established in 2006, we provide before and after school care to pupils at Bernards Heath Junior school. We offer a wide range of creative crafts, fun games and outdoor activities, along with a healthy breakfast or light afternoon snack. All children are welcome from Year 3 to year 6 regardless of their religion, racial origin, cultural and linguistic background and in accordance with our admissions policy. Children with special requirements are also welcome providing that facilities can be arranged practically to provide a safe environment for all.

Opening hours

Breakfast club: 7.30am
(Breakfast served until 8.15am)

Afterschool club: Mon-Thurs until 6pm, Fri until 5.00pm

Club activities

Children have free choice of any available activity they wish. Activities are supervised and include:

  • A range of adult-led activities
  • Indoor and outdoor games
  • Drawing and reading
  • Puzzles and board games
  • Construction toys

Any ideas or suggestions will be welcomed. Parents are always welcome to join the session and if you have a particular skill or hobby which you think the children might be interested in please contact us.

Health & Safety

Our rules are simple and are made to ensure the safety of each and every child – children will be encouraged to behave responsibly and to respect both staff and each other. To ensure the children’s safety all staff have an enhanced DBS check. A trained first aider will be available in the rare case of emergency. It is the parent/carer’s responsibility to disclose any allergies or other medical conditions and provide a local emergency contact number. When registering your child you must specify any medical information to enable us to act appropriately and professionally. It is parent’s responsibility to ensure all information is kept updated. Medication can only be administered by staff if the appropriate form has been completed in advance – please contact us if you will need to complete a form. All information given will be treated in complete confidence.

Waiting list

Our allocation of spaces for the new September intake will work as follows;- Parents of current members will be asked to apply for places for siblings, before the end of January, and will receive priority to reserve spaces for the new academic year. All other families are added to the waiting list at the time of application.

Once school allocations have been confirmed in April, we offer any remaining spaces to those on the waiting list in the order their applications were received.

Deposit & registration

When booking regular sessions payment is required half termly in advance. We also offer ad hoc sessions at breakfast and after school for registered children. More information can be found on the Register and Book page. We require a registration fee of £10 to become a member of ABC-XYZ Childcare Ltd. This covers membership of ABC Breakfast Club, XYZ After School Club. Registration confirms acceptance of our “Terms & Conditions”. A deposit is required to reserve your place of £20 per child per session booked across a week. This is refundable when you leave the Club subject to T&C’s.

Cancellation & changes

Cancellations must be made in writing/email with a half term’s notice. Non payment of fees is not accepted as notice of cancellation/change of days. ABC-XYZ Childcare Ltd. regret that you will be charged for children unable to attend through sickness or holidays and we are unable to offer “swap” days. We do offer additional ad hoc bookings via our website. Clubs will always be open when school is open. However if there are unexpected school closures, such as snow days, we will still charge. You will NOT be charged on days when the Clubs are unable to open due to pre-arranged events such as Polling Day and school inset days.

Term dates

We follow the same term dates as the schools. Please visit the school websites for latest term dates, Bernards Heath Junior School. Please note when school closes at 1.30pm at the end of the term, XYZ After School Club will not operate that afternoon.

Collecting children

Parents and guardians are responsible for ensuring that they or a nominated person collect their children before the end of their booked session. There may be occasions that you are unable to collect your child. In this situation please ensure we have been given prior notice in writing/email/text, of who will be collecting. For the protection of your children, they will only be released to a nominated person. Please have a local emergency contact who would be able to collect on your behalf at short notice

Emergency closure

Please note that we will always open if school is open. Should you receive notification that your school is closed then unfortunately we will have to close also. This applies to all our clubs – Breakfast, and After school. If you have any queries please do not hesitate to contact us on 07799 855850.

Register & Book

Register

To reserve a place at ABC Breakfast Club and XYZ After School Club:

  1. Read our Terms & Conditions 
  2. Complete and return the Registration & Booking Form
  3. We will confirm availability via email and send an invoice to include the first half terms fees, the Registration Fee (£10) and Deposit (£20 per child per session booked across one week e.g the deposit for one child attending Monday and Tuesday would be £40; the deposit for two children attending Monday and Tuesday would be £80). Please do not make any payment, until the invoice has been received.
  4. All fees must be paid in full before children can attend.

Fees

The rates below come into effect from September 2024.

A one-off £10 registration fee (per family) is payable upon first registration.

ABC Breakfast Club:
£8 per session per child (Ad hoc £8.50 per session)

XYZ After School Club:
Until 5pm – £15.50 (Ad hoc  £16.50)
Until 6pm – £19.50 (Ad hoc  £20.50)

Please note we reserve the right to charge a late pick-up fee of £10 per child per 15 minutes, payable on collection.

Payment details

Fees are paid half termly in advance. No refunds are given for sickness or holiday and we are unable to swap days. Additional ad hoc bookings can be made. Our preferred method of payment is by Bank Transfer. All payment details will be on the invoice.

Cheque: Please make all cheques payable to ABC-XYZ Childcare Ltd.

Childcare Vouchers: We are registered with most childcare voucher providers. Our Ofsted registration number is Bernards Heath – 2541439

We have recently partnered with PonchoPay and we will now accept Debit/Credit Payments, Childcare Voucher Payments, and Tax-Free Childcare Payments through their protected payment portal. To pay via Debit/Credit Card, Childcare Vouchers, or Tax Free Childcare, please pay via the PonchoPay link below, enter the amount on your invoice, and complete the checkout process. Please be aware that when you are asked for your card details, your card will NOT be charged, it is for security purposes only.

Please note you may be liable for a late payment charge of £25 if your payment has not been received by the due date and you have not contacted us to advise of delayed payment.

Ad Hoc Booking

Following feedback from parents, we now hold a limited number spaces for ad hoc bookings each session above our regular bookings. These are allocated on a first come first served basis. Please book in advance where ever possible (min 48 hours) to ensure places. Any bookings made over the weekend will be dealt with on a Monday morning in the order in which they were received. If places are required for a Monday, please ensure the booking is made before 5pm on the previous Friday at the latest.

Please ensure you have completed a registration form with your ad hoc booking form if you have not previously done so.

ABC-XYZ Childcare Ltd aim to always have at least one, if not two, well- qualified managers at every session and a general staff:child ratio of 1:8 to maintain the highest standard of care for your child.

All staff have received an enhanced DBS check.  We have an ongoing training programme for all staff including food hygiene/ anaphylaxis, safeguarding, first aid and play work. Recent training also includes diabetes training, understanding autism and neurodiversity awareness.

Our designated Safeguarding officers are Ivelina Madzharova and Sarah Hogg
